This article covers how to assign the People Manager role, which gives managers access to the Manager Dashboard. You can assign it in two ways:

  • Option 1: Assign the Manager role to one user

  • Option 2: Assign the Manager role in bulk

Prerequisites

Before you enable the Manager Dashboard, make sure that:

  • You have administrator access to manage employees, user access, and notification templates.

  • You have reviewed and updated the Manager Email template (see Task 1). Do this first - it is required.

  • You have decided which dashboard information should be visible to managers (for example, whether phishing information is enabled).

Step-by-Step Instructions

Task 1: Review the Manager Email template (do this first)

Reviewing the template is essential if you use custom branding, company-specific banners, a modified email layout, customized wording, or different communication standards.

  1. Go to Company Management.

  2. Open Notification Templates.

  3. Locate Manager Email - People Manager Role.

  4. Review the content, branding, links, and layout.

  5. Update the template to align with your existing communication design.

  6. Save and validate the template before assigning any Manager roles.

Result: The Manager Email template reflects your branding and communication standards and is ready for managers to receive.

Warning: Do not enable broad Manager Dashboard access until you have reviewed the Manager Email template. Otherwise, managers may receive communications with outdated branding, incorrect layouts, or messaging that does not match your existing templates.

Option 1: Assign the Manager role to one user

Use this method for a single manager. It is appropriate for pilot programs, executive previews, controlled rollouts, selected departments, or a limited number of people managers.

  1. Go to Company Management.

  2. Open Employees.

  3. Find and edit the relevant employee.

  4. Click Update role, then assign the People Manager role.

  5. Select Proceed to Save.

Result: The user gains access through two entry points:

  • A Switch to Manager Dashboard option in the employee portal.

  • A Log in to Manager Portal button in relevant email communications about their reportees.

Option 2: Assign the Manager role in bulk

Assign Manager access to multiple users at once from Settings → User Access → People Manager → Users → Configure.

From here, choose one of two rollout models.

Option A - Automatic assignment for all managers

Use this when you have completed rollout planning and want the Manager Dashboard to be standard for all people managers.

  • Existing managers receive the People Manager role immediately when you enable this option.

  • Future managers imported through CSV, Active Directory, or SCIM receive the role during the scheduled manager-role synchronization.

  • Manager-role synchronization currently runs once every 24 hours.

Note: Newly synchronized managers may not receive the role immediately. Automatic assignment can take up to 24 hours after the manager relationship is received through CSV, Active Directory, or SCIM. Current managers receive the role immediately when you enable the configuration.

Option B - Assignment to selected managers

Use this when you do not want to enable the dashboard for every manager. It is appropriate for pilot groups, selected business units, regional rollouts, executive previews, or when you need internal approval before broader deployment.

  1. Select the controlled-assignment option.

  2. Enter or paste the email addresses of the selected employees.

  3. Allow the system to validate the employees.

  4. Review any validation results.

  5. Assign the Manager role to the validated users.

Result: Only the validated employees you selected receive Manager access.


View assigned managers and permissions

  • To view all users with Manager access, go to Settings → User Access → People Manager → Users.

  • To review the permissions associated with the Manager role, go to Settings → User Access → People Manager → Permissions.


Preview the dashboard as a specific manager

As an administrator, you can view the platform exactly as a chosen manager sees it. This is useful for validating hierarchy data and confirming what a manager will see.

  1. Go to Dashboard.

  2. Click My Team.

  3. Select View Dashboard As.

  4. Choose the relevant manager from the dropdown.

Result: You see the Manager Dashboard as that specific manager, including their reporting hierarchy.


How Managers Access the Dashboard

Managers authenticate through the existing employee experience. After signing in, managers with the appropriate role see the Switch to Manager Dashboard option in the upper-right area of the employee portal.

Managers can authenticate using any supported method, including:

  • Username and password

  • Google SSO

  • Microsoft SSO

  • Email OTP

  • SMS OTP

  • SAML authentication through your identity provider

  • Service-provider-initiated links included in supported email communications

Managers can also open the dashboard directly using the Log in to Manager Portal button included in relevant manager communications.

Validation / Expected Outcome

Confirm the Manager Dashboard is set up correctly:

  • Assigned managers appear under Settings → User Access → People Manager → Users.

  • After signing in, a manager sees the Switch to Manager Dashboard option in the upper-right of the employee portal.

  • Using My Team → View Dashboard As, you can confirm what a specific manager sees and that their reporting hierarchy is correct.

  • The Permissions page (Settings → User Access → People Manager → Permissions) reflects the capabilities you expect.

Common Issues & Troubleshooting

1. A newly added manager does not have access yet.

Automatic assignment can take up to 24 hours after the manager relationship is received through CSV, Active Directory, or SCIM. Current managers receive the role immediately when the configuration is enabled. For immediate access to a specific person, assign the Manager role directly (Option 2) or use selected-manager assignment (Option 2, Option B).

2. A manager does not see the Switch to Manager Dashboard option.

  • Confirm the Manager role is assigned in Settings → User Access → People Manager → Users.

  • Ask the manager to fully sign out and sign in again.

  • Confirm the manager is authenticating through the employee experience, where the option appears in the upper-right.

3. Managers received emails with incorrect branding or layout.

The Manager Email template was not reviewed or updated before rollout. Update it at Company Management → Notification Templates → Manager Email — People Manager Role, then save and validate it.

4. A manager sees the wrong reports or an incomplete hierarchy.

Verify the reporting hierarchy data from your directory source (CSV, Active Directory, or SCIM). Use My Team → View Dashboard As to inspect exactly what that manager sees.

5. Managers can or cannot see phishing information unexpectedly.

Phishing information in the Manager Dashboard is enabled or disabled from the administration console. Check that configuration to match your intended visibility.

9. What happens if the manager hierarchy is incorrect?

The Manager Dashboard reflects the reporting relationships available in the system. If the hierarchy is incorrect, update the source data or user records before enabling the dashboard. Validate your reporting structure during the rollout process.

15. What happens if we enable the Manager Dashboard without updating the email template?

16. Can we see which employees currently have the Manager role?

Yes. Go to Settings → User Access → People Manager → Users.

17. Can we review what the Manager role is allowed to do?

18. Will managers receive access automatically because they are listed as managers in Active Directory or SCIM?

Only when automatic Manager-role assignment has been enabled. If you are using a controlled rollout, managers will not receive access unless they are specifically selected or assigned the Manager role.

19. Can we disable automatic manager assignment later?

Yes. You can change the Manager-role configuration. Before changing the setting, review whether existing managers should retain or lose their assigned role.

20. Can a manager export employee data?

Export permissions depend on the permissions currently assigned to the Manager role. Review the Manager permissions page before rollout and confirm that the available actions meet your governance requirements.

21. Is the Manager Dashboard suitable for executive users?

Yes. The dashboard is functional and available for manager use, including executive users.

22. What will happen to the manager reminder emails?

The manager reminder emails will continue to go out as they currently do. However, employees with a people manager role will include a link to The Manager Dashboard.

23. Why might the Manager Dashboard not be enabled for a specific customer immediately?

Enablement may depend on manager-hierarchy accuracy, email-template readiness, authentication configuration, existing reminder workflows, customer approval, privacy or governance requirements, and completion of a controlled pilot. Confirm these requirements before enabling the feature broadly.
